This policy explains what information [Hubtrax legal entity name, e.g. Hubtrax LLC] ("Hubtrax") collects, how we use and share it, and the choices you have. It applies to the Hubtrax website and apps. Facilities that use Hubtrax also collect and use your information under their own privacy practices.
1.Who is responsible for your information
When you join a facility's league, program or team, that facility decides how your information is used for its activities, and Hubtrax processes it for the facility. For your Hubtrax account itself (your login, profile and settings), Hubtrax is responsible. Contact the facility about how it uses your information, or contact us at [privacy@hubtrax.co].
2.Information we collect
You give us:
- account details: name, email, password (stored hashed), phone number;
- profile details: photo, birthday, address and emergency contact;
- information about children you add: name and birthday, and anything a facility's registration form asks for;
- activity details: teams, registrations, waivers you sign (name, date and version), check-ins and messages;
- payment details: the card brand, last four digits and expiry. Full card numbers go directly to our payment processor and never touch our servers.
Collected automatically: device and browser type, IP address, pages viewed and actions taken in the app, and cookies needed to keep you signed in.
From facilities: rosters, schedules, scores, balances and notes that facility staff enter about the people they serve.
3.How we use it
- to run the Service: accounts, teams, schedules, registrations, waivers and payments;
- to send receipts, reminders, schedule changes and other messages you've asked for;
- to keep the Service secure, prevent fraud and enforce our terms;
- to understand how the Service is used and improve it;
- to meet legal, tax and accounting obligations.
5.Children's privacy
Hubtrax is not directed to children under 13, and children under 13 cannot create accounts. A parent or legal guardian may add a child to their own account to sign them up for programs. When they do, we collect only what is needed for that, such as the child's name, birthday and anything the facility requires for safety.
Parents and guardians can review, correct or delete their child's information at any time in their account, or by emailing [privacy@hubtrax.co]. If we learn we collected information from a child under 13 without a parent's involvement, we will delete it.
6.How long we keep it
We keep account information while your account is open. Facilities may need records such as payments and signed waivers for longer, to meet legal, insurance or accounting requirements. When you close your account, we delete or de-identify your information within a reasonable time, except what we or the facility must keep by law.
7.Security
We use encryption in transit, hashed passwords, access controls and limited staff access to protect your information. No system is perfectly secure, so please use a strong, unique password and tell us right away if you suspect a problem.
8.Your choices and rights
You can view and update most of your information in your account settings, manage notifications, remove saved cards and close your account. Depending on where you live (including Colorado, California and other US states), you may also have the right to request access to, correction of, deletion of, or a copy of your personal information, and to opt out of certain processing. We will not discriminate against you for exercising these rights.
To make a request, email [privacy@hubtrax.co]. We may need to verify your identity. If your request is about information a facility controls, we'll help route it to them.
10.Changes to this policy
We may update this policy. If changes are material, we'll notify you by email or in the app before they take effect.
